Aims

The Supporters Clubs aims include:

To increase the Supporters Club Membership.

To help increase the ECWFC supporter base, to promote matches and events.

To support ECWFC with the provision of volunteers as required.

To support ECWFC financially, through sponsorship whenever possible.

To raise funds and contribute towards future needs of ECWFC. After all, we all want a successful and thriving Exeter City Women’s team.


Exeter City Women FC Supporters Club Constitution

1.0 Name

1.1 The name of the association shall be “Exeter City Women FC Supporters Club”.

2.0 Objectives and Purpose

2.1 To organise the support and encouragement of Exeter City Women FC.

2.2 To give Supporters Club members a formal medium of approach to the ECWFC     Directorate via the Supporters Club Committee.

2.3 To provide volunteers for the benefit of Exeter City Women FC as required.

2.4 To set down and encourage the acceptance of standards of conduct to be observed by members of the Supporters Club.

2.5 To organise social events, competitions and fundraising to further the aims of the Supporters Club. This will enable the Supporters Club to make donations to the football club for specific defined activities or projects.

2.6 To encourage friendly relations with supporters of all football clubs.

2.7 To encourage participation of younger members of the Supporters Club.

2.8 To do all such things that may be deemed necessary to facilitate the objectives of the Supporters Club.

2.9 To encourage closer links between players and supporters.

3.0 The Committee

3.1 The Supporters Club shall be governed by a Committee, which shall comprise such members as the Supporters Club shall from time to time determine.

4.0 The Rules

4.1 The Supporters Club shall have and shall adopt rules governing the day to day conduct of the Supporters Club and the rules and any amendments thereto shall not conflict with the provisions of this constitution and shall only be adopted or amended or repealed by at least 75% of the members present and entitled to vote at a General Meeting. Amendments to the constitution shall only be made at an Annual General Meeting or Extraordinary General Meeting.

5.0 Membership

5.1 Membership of the Supporters Club will be open to all ages. Every candidate for membership will complete a membership form that will normally be accepted by the members who reserve the right to refuse the application. The Secretary will furnish the applicant with the reasons for rejection; the applicant will then have the right to appeal to the next Annual General Meeting or Extraordinary General Meeting of the Supporters Club.

6.0 General Meetings

6.1 An Annual General Meeting of the Supporters Club shall be held every calendar year to transact the following business:


i) To receive and if approved, adopt an annual report of the Supporters Club’s activities of the previous year;
ii) To receive and if approved, adopt the income and expenditure accounts and the balance of the Supporters Club;
iii) To appoint or sanction the appointment of the officials of the Supporters Club;
iv) To deal with any other special matter which the members may desire;

6.2 An Extraordinary General Meeting may be called by a minimum of 15, or 50% of adult members, whichever is the lower, of the Supporters Club to decide matters of major importance.

7.0 Finance

7.1 The Supporters Club shall, at all times, ensure that proper books of account are kept of all transactions connected with the activities of the Supporters Club and shall, once established, open a bank account and all monies received by the Supporters Club shall be paid into such account.

7.2 Accounts of the Supporters Club shall be prepared annually.

7.3 No money or property of, or any gain arising from the carrying on of activities of, the Supporters Club shall be applied otherwise than in accordance with the rules of the Supporters Club.

7.4 In the event of the winding up of the Supporters Club, all its assets, monies and other securities shall be disposed of as the members deem to be Exeter City Women FC and its supporters.

8.0 Relationship with Exeter City Women Football Club

8.1 The Supporters Club is administratively and financially independent of the football club.

8.2 The officials will represent the views of the membership by means of meetings with members of football club committee and will report the results of those meetings to the members.

9.0 Establishment

9.1 The Supporters Club shall be deemed to be established 6 months from 01/11/2020


Exeter City Women FC Supporters Club Rules

1.0 The Supporters Club’s Year and Audit

1.1 The Supporters Club year shall run from 1st July to 30th June. Once in every year the accounts of the Supporters Club shall be prepared for presentation at an Annual General Meeting.

2.0 General Meetings

2.1 An Annual General Meeting of the Supporters Club shall be held in each year at such a time and place as the committee shall determine, but within six (6) months of the end of each financial year.

2.2 Twenty-one days prior notice of the Annual General Meeting of the Supporters Club shall be given to members. Fourteen days prior notice will be given for Extraordinary General meetings.

2.3 Extraordinary General Meetings of the Supporters Club shall be held at such times as may be determined by the committee, or by written request of a minimum of 10, or 50% of adult members, whichever is the lower, of the Supporters Club.

2.4 At any meeting, voting shall be by show of hands or by ballot paper, whichever procedure is deemed more suitable by the Chairman. The Chairman shall have no vote at any meeting, except in the case of a tie.

2.5 The Chairman may invite any person to attend an Annual General or Extraordinary General Meetings in a non-voting capacity at the request of the members.

3.0 Meetings

3.1 The Supporters Club shall meet at least twice in each calendar year, at such times and places as shall be determined by the members.

3.2 The Chairman may invite any person to attend its meetings in a non-voting capacity at the request of the members.

3.3 Questions arising at a meeting shall be decided by a majority of votes. In the case of an equality of votes, the Chairman shall have the casting vote.

4.0 Membership

4.1 Membership is open to any person who:
a) Is a supporter of Exeter City Women FC.
b) Agrees to be bound by these rules and the constitution; and
c) Is not subject to any football related ban or disciplinary action.

4.2 The members will decide and issue a form of application for membership. Members are to pay an annual subscription of such a sum and payment method as they shall decide.

4.3 Every candidate will complete the membership form and agree to make payment as decided by the club rules.

4.4 All applications and proposals may be considered by the members at their discretion to decide whether the candidate should be accepted for membership.

4.5 Membership shall be renewable annually from 1 July each calendar year.

4.6 In the event of a member making payment to the Supporters Club for an excursion fare, match ticket or other organized event and subsequently failing to turn up, any repayment of the monies received will be at the discretion of the members.

4.7 If any payment made by a member is by cheque and is for any reason dishonoured upon presentation, then, in addition to making good any payment still due, the member concerned will be liable to meet any administrative or bank charges incurred in consequence of the cheque not being met at the first attempt.

4.8 The members shall have the power to reprimand, suspend or expel any member who shall infringe any rule or whose conduct shall, in their opinion, render him/her unfit for membership. Before any such suspension the member concerned shall be given the right to explain his or her conduct to the members. A suspended member shall forfeit all rights of membership during suspension. No expelled or suspended member will be entitled to the return of any part of his or her membership fee.

4.9 No member may use the name or title of the Supporters Club without the authority of the members.

4.10 Other than travel arrangements made by members authorised for that purpose, no financial liability will be accepted by the Supporters Club for any transport arranged by the member or any group of members, nor will any such arrangements fall within the scope of any insurance cover arranged by the Supporters Club.

5.0 Officers

5.1 The committee shall appoint a Chairman, Secretary, Treasurer and such other officers as they deem necessary, from amoung its elected members.

6.0 Quorum

6.1 The quorum at members meetings of the Supporters Club shall not be less than five (5) members (one of which must be the Chairman or Secretary) or 50% of the membership whichever is the lower.

6.2 The quorum at Annual General Meetings and Extraordinary General Meetings shall not be less than 10 members or 50% of the membership, whichever is the lower.

7.0 Finance

7.1 The Supporters Club shall, once established, open a general account at a bank to be determined by the members and all cheques drawn on that account shall bear at least two of the signatures of the Secretary, Treasurer and one other nominated member.

7.2 Separate accounts may be opened for specific purpose at the discretion of the members, provided that a minimum of two signatures is always required.

7.3 The members shall appoint another member as Assistant Treasurer in order for the accounts to be prepared for the Annual General Meeting, should the need arise.

8.0 Alterations

8.1 Alterations to these rules may only be made if the assent of a majority of those members present and voting is received at a special meeting of the members convened for that specific purpose.

8.2 A resolution for the alteration of the rules shall be received by the Secretary at least seven clear days before the meeting of which clear notice in writing shall be given by the Secretary to the members and shall include notice of the alterations proposed.

8.3 Any such amendment shall subsequently be adopted or amended or repealed at the next general meeting of the supporters club by 75% of the members present who are entitled to vote.

9.0 Relationship with the Football Club

9.1 The committee will represent the views of the membership by means of regular meetings with the football club representatives.

9.2 The Supporters Club will be represented by one or all of its officers at such meetings.

10.0 Establishment

10.1 The Supporters Club shall be deemed to be established 6 months from 01/11/2020

11.0 Unspecified Matters

10.1 Any matter not covered by the above rules shall be dealt with by the members.
